This case study describes a Software Asset Management engagement JSN Techmark conducted for a Pimpri-Chinchwad, Pune-based manufacturing company with 60 employees. Identifying details have been anonymised.

The Client

A 60-seat precision engineering manufacturer in Pimpri-Chinchwad, Pune. The company had grown from 15 to 60 staff over four years, acquiring Microsoft licences reactively, adding when people joined, rarely removing when they left. Annual Microsoft spend had reached Rs.8.4 lakh but nobody was certain exactly what they were paying for.

The Problem

The IT head suspected significant overspend but lacked the tools and methodology to quantify it. He contacted JSN Techmark after reading about our free SAM audit programme.

What the SAM Audit Found

Finding 1: Ghost Licences, Rs.84,000/year

14 Microsoft 365 Business Standard licences were assigned to email addresses of employees who had left the company in the previous 12 months. At Rs.500/user/month, this totalled Rs.84,000 wasted annually on accounts nobody was using.

Finding 2: Licence Over-Provisioning, Rs.72,000/year

22 production floor workers were on Microsoft 365 Business Standard (Rs.660/user/month) but their actual use was limited to company email. Microsoft 365 Business Basic (Rs.125/user/month) would fully cover their needs. Achievable saving after adjustments: Rs.72,000/year.

Finding 3: Redundant Zoom Subscription, Rs.45,000/year

The company was paying Rs.45,000/year for a Zoom Business subscription for 15 licences. Their Microsoft 365 Business Standard plan already included Microsoft Teams with equivalent meeting functionality. The Zoom subscription was cancelled with zero functional impact.

Finding 4: Redundant Dropbox Business, Rs.60,000/year

Dropbox Business was costing Rs.5,000/month (Rs.60,000/year). Their existing Microsoft 365 plan included 1TB OneDrive per user, 60TB of total cloud storage for 60 users. Migration from Dropbox to OneDrive took three days. Saving: Rs.60,000/year.

Total Annual Savings: Rs.2,61,000

All four findings were remediated within 30 days. First-year savings of Rs.2,61,000, against a zero-cost SAM audit. The return on investment of the audit is effectively infinite in year one.

Beyond the Numbers

The engagement also revealed a compliance gap: several users were sharing mailboxes to save on licences, which created audit trail and data residency issues. We resolved this by correctly licensing those users on Microsoft 365 Business Basic at a fraction of Business Standard cost.
